Vietnam Maritime Corporation (VIMC) operates in maritime transport, inland ports, and logistics services including warehousing. At the start of the project, 80% of the documents were still stored as hard copies. Maintaining physical storage habits took up space and increased data preservation costs for VIMC. In particular, employees faced many difficulties in locating and accessing documents when needed. The process of creating, revising, and approving documents between department heads and corporate staff was hindered by incidents such as damaged, lost, or delayed paper documents. The limitations of traditional data storage posed many operational and management challenges for the business. To support its digital transformation, Vietnam Maritime Corporation entrusted GMO-Z.com RUNSYSTEM to implement a document storage and digitization project, integrated with optical character recognition (OCR) on digital documents.
The main goal of the project is to create a cloud-based data storage environment to allow information retrieval, searching, and sharing from anywhere at any time, quickly and efficiently. It also helps reduce costs and ensures longer-term data preservation and maintenance.
Compared to other products on the market, the Enterprise Content Management (ECM) system developed and perfected by GMO-Z.com RUNSYSTEM is integrated with an OCR engine capable of digitizing a variety of input documents, especially handwritten Vietnamese texts. This helps businesses improve the quality and efficiency of information processing in a short time, streamline internal processes, reduce printing and storage costs, while still ensuring multi-level access control. For this project, Vietnam Maritime Corporation (VIMC) highly evaluated the effectiveness of the SmartOCR solution from GMO-Z.com RUNSYSTEM. Mr. Le Dong, Director of the Information Technology Center – VIMC, stated: “Thanks to the digitized storage system integrated with OCR, over the past year, we have digitized and saved more than half of our storage space, creating convenience, efficiency, and saving a lot of working time.”
Along with the development of a digital government and the implementation of the national digital transformation plan approved by the Prime Minister, document digitization is essential.
